The participation grid gives you a detailed view of how people engage across a space and its subspaces. Use it to review activity patterns, track progress, check recency, and identify members who may need follow-up.
Before you start
You must be a manager, moderator, or editor of the space. Managers need a Gold plan; moderators and editors have access on any plan.
The space should have member activity to review.
Open the participation grid
Open the space you want to analyze.
Go to Settings.
Select Participation from the sidebar.
The first time you open participation analytics for a space, Sutra indexes the existing activity. You will see a "Preparing participation insights..." message. This runs once and only takes a moment.
Read the summary stats
Four stat cards appear at the top of the page:
Total Members -- the number of people enrolled in the space, with a count of new members in the last 30 days.
Visited -- how many members visited in the last 30 days, shown with a percentage of total members.
Posted -- how many members posted in the last 30 days, shown with a percentage of total members.
Daily Active -- average number of active members per day over the last 30 days.
Use the toggles
Below the stat cards, three toggles let you adjust the scope:
Direct members only -- when on, the grid shows only direct members of the current subspace instead of the full aggregated cohort. Useful when you want to analyze a single subspace in isolation.
Exclude managers from totals -- when on, managers are removed from the stat cards and grid so you only see participant activity.
Show people filter -- when on, a people filter appears below the grid controls. Use it to focus the grid on specific members (see "Filter by people" below).
Choose a view
The grid supports five views. Select the one that matches what you want to review:
Heat Map -- color-coded activity intensity across members and subspaces. Cells range from gray (no activity) through light green to dark green (high activity).
Progress -- how far members have progressed through the space content, shown as a progress bar with a percentage.
Last Seen -- when each member last visited, color-coded by recency.
Last Posted -- when each member last posted, color-coded by recency.
Total Posts -- post count per member across subspaces, color-coded by relative volume.
Filter the results
Action filters
Action filters appear when you are in the Heat Map or Progress view. They are hidden for the Last Seen, Last Posted, and Total Posts views.
Toggle one or more action filters to narrow the grid: Visited, Commented, Completed, or Watched Video. You can activate multiple filters at once. Click All to clear the selection and show all activity.
Date range
Click the date button to choose a time window: All time, Last 7 days, Last 30 days, This month, Last month, Last 90 days, or set a custom range with the From and To date fields and the Apply Custom Range button.
Filter by people
Turn on the Show people filter toggle (see "Use the toggles" above). A multi-select field labeled Filter by people appears. Search for and select one or more members to restrict the grid to just those people.
Drill into subspaces
Column headers in the grid represent subspaces. When a subspace contains its own nested subspaces, the column header is clickable. Click it to drill into that subspace and see its children as columns.
A breadcrumb trail appears above the grid as you navigate deeper. Click any breadcrumb segment to jump back to that level in the hierarchy.
Read cell details
Hover over any cell to see a tooltip with more information. Depending on the view, the tooltip shows:
Heat Map / Progress -- which actions the member performed (Visited, Commented, Completed, Watched Video), a posts breakdown (posts, comments, reflections, word count), progress fractions, last seen and last posted dates, and video watch details.
Last Seen -- the exact date and how many days ago the member last visited.
Last Posted -- the exact date and how many days ago the member last posted.
Total Posts -- a breakdown of posts, comments, reflections, and total word count.
Video watch badges
Cells that involve video content show a badge with a fraction such as "2/3", indicating how many videos the member has completed out of the total. Hover over the cell for a detailed video watch report in the tooltip.
Open the messages drawer
When you click an active discussion cell (a cell with posts in a discussion subspace), a messages drawer opens on the right side of the screen. The drawer shows the messages from that subspace with the member pre-filtered. You can write replies, sort and filter messages, and open reflections from within the drawer.
Sort members
Click the Member column header to toggle between ascending and descending sort order for the member list.
Export participation data
Click Export to download the current participation data as an XLSX file. The export reflects your current view, filters, and date range.
If you have access to advanced exports, click the sitemap icon next to the export button to download whole-tree participation data that includes all subspaces.
