There's a particular kind of tired that comes from updating the same paragraph in eight different places. A new cohort starts and you need to change the welcome message. You move a Zoom link. You rewrite the footer. And then you wonder whether you caught every spot.
Share blocks are the answer. You design a piece of content once, save it with a name, and place it anywhere you'd like it to appear. When you edit the source, every place it lives updates with it.
When to reach for a share block
Share blocks shine anywhere the same content needs to live in more than one place:
A consistent welcome or orientation message at the top of each module
A footer with your office hours, support link, or community agreements
A site-wide header or footer for your website
A recurring call-to-action — book a session, join the next cohort, leave a reflection
A disclaimer, content note, or legal line that needs to stay synchronized
If a block of content only ever lives in one place, you don't need a share block. Reach for one when consistency matters — when you want a single source of truth instead of a copy-paste trail.
Adding a share block
Inside any space, open the editor and add a Share block from the block menu.
You'll see two options in the sidebar:
Use an existing share block — choose from blocks you've already created in this site.
Create new share block — give it a name (something descriptive like "Course footer" or "Welcome banner") and start designing.
Build the content inside the block as you would anywhere else — text, images, buttons, embeds. Almost any block can live inside a share block.
Save. That's it. Your share block is now part of your library and ready to drop into other spaces.
Editing — and what changes when you do
This is the part worth slowing down on: editing a share block updates it everywhere it appears.
That's the magic, and it's also the thing to be intentional about. If you're refining the wording in your course footer, every space using that footer reflects the change next time it loads. If you're not sure whether other spaces are using a block, give it a moment of thought before editing.
To edit, just click into the share block in any space where it appears. You'll see save status indicators while you work, and your changes apply across every instance once saved.
IMPORTANT: edits don't save across share blocks unless you click the SAVE button.
Managing your library
From the share block sidebar you can:
Rename a block — useful as your library grows and "Block 1" stops being descriptive
Switch an instance to a different share block from your library
Delete a block from your library
A note on deletion: if you remove a share block that's still in use somewhere, the spaces that referenced it will show a small "this share block has been deleted" placeholder where the content used to be. If you're not sure whether a block is still needed, switching it out is gentler than deleting.
Site headers and footers
Share blocks also power your site header and site footer — the strip at the top and bottom of every page on your Sutra website.
These work the same way, with one difference: they're assigned at the website level rather than dropped into individual spaces. Edit them once and they update across every page of your site. You'll find them in your website settings, or by adding a Share block set to "Site Header" or "Site Footer."
A couple of things to know
Share blocks can't be nested inside other share blocks. One layer deep, always.
There's no per-instance override. A share block looks and reads the same wherever it appears. If you need a one-off variation, copy the content into a regular block instead.
Only editors of a space can manage share blocks. Members see them as part of the page like any other content.
Share blocks are a small piece of the editor, but they tend to change how creators relate to their content over time. Instead of treating every space as its own island, you start designing the pieces that recur — and trusting that when you update the source, the rest takes care of itself.
Troubleshooting
Your edits aren't showing up in other spaces. Changes only propagate once you click the SAVE button — editing the text alone doesn't push it out. Watch the save-status indicator and make sure you've saved before navigating away.
A space shows “this share block has been deleted.” The block was removed from your library while it was still in use. Switch that instance to another block from your library, or recreate the content. To avoid this, switch a block out rather than deleting it when it might still be in use elsewhere.
You need one space to use a slightly different version. Share blocks have no per-instance override — they read the same wherever they appear. For a one-off variation, copy the content into a regular block instead of using the share block.
A team member can't edit a share block. Only editors of a space can manage share blocks; members see them as part of the page like any other content. Make sure they have editor access to the space.
