Contact Notes let managers keep private, internal notes attached to individual contacts in a Sutra space. Use them to record relationship context, follow-up actions, or any details that should stay with a contact record. Notes are only visible to managers - contacts and members never see them.
Before you start
You must be a manager of the space (or a creator, parent-circle manager, or admin). There is no separate contact-specific permission - anyone with management access to the space can work with contact notes.
The person must appear in the Contacts tab of the space.
Open the contact profile
Open the space that contains the contact.
Go to Settings > Members, then select the Contacts tab.
Click anywhere on the person's row to open their contact profile drawer on the left side of the screen.
The drawer header shows the contact's name, email address (click to copy), and the date they were added. Below the header you will find a Quick Actions bar with three options:
Email -- send an email to the contact.
Invite -- invite the contact to join the space.
More -- a dropdown menu with Copy email and Remove contact.
Add a note
In the contact profile drawer, scroll to the Notes section at the bottom.
Click + Add note.
Write your note in the text field that appears. Notes cannot be blank.
Click Save to create the note, or Cancel to discard it.
Each saved note displays its creation date in "Mon D, YYYY" format (e.g. Jun 3, 2026). If a contact has no notes yet, the section shows "No notes yet."
You can also edit or delete existing notes directly from the drawer. Click Edit on any note to update its text, or Delete to remove it.
Update custom properties
The contact profile drawer also includes a Custom Properties section above the notes area. Custom properties are structured fields your team has defined -- such as status, source, cohort, or other tracking categories.
To change property values, click Edit to enter edit mode and make your changes. Each change is saved automatically as you make it. Click Save to exit edit mode when you are done. There is no need to save before closing -- your changes are already saved.
Tips
Notes are for human reference. They are plain text and cannot be used to filter contacts or segment broadcast recipients. If you need to filter or segment contacts, use custom properties instead.
Custom properties can filter. Unlike notes, custom property values can be used as filter criteria when targeting broadcasts or organizing contacts.
Multiple managers share access. Any manager with access to the space can view, add, edit, and delete notes on any contact. The interface does not display which manager wrote each note -- only the date is shown.
