The registration flow editor lets you build a sequence of automated actions that run when someone joins your space or submits a contact form. You can use it to send emails, add people to other spaces, run surveys, and more.
Before you start
You must be a manager of the space.
Set up any payment plans, surveys, or destination spaces you want the flow to use before adding them as steps.
Open the flow editor
Go to the space you want to configure.
Open Space Settings.
Expand the Automation section.
The flow editor appears with a trigger dropdown at the top and your current steps listed below it.
Choose a trigger
Select a trigger from the dropdown at the top of the flow editor. The trigger determines when the flow runs and which step types are available. The full list of triggers includes:
Contact added - Runs when someone submits their name and email through a contact form. This trigger offers a limited set of step types (Send email and Wait only).
Person registered - Runs only when someone becomes a member of the space.
Contact added or person registered - Runs whenever someone joins as a member or submits a contact form. This is the default.
Space marked complete - Runs when a person marks the space as complete.
Survey completed - Runs when a person completes a survey in the space.
Member removed - Runs when a person is removed as a member of the space.
Person joins any subspace - Runs when a person joins any subspace nested under this space.
New direct subspace created - Runs when a new subspace is created directly under this space.
Bundle payment - Runs when a person makes a bundle payment.
Add steps
To insert a step between existing steps or before the first step, click the small + icon that appears in the connector line between steps.
To add a step at the end of the flow, click the Add step button below the last step.
Either action opens a drawer where you can select an action from the dropdown labeled "Please select an action for this step." After selecting a step type, configure its settings and save.
Available step types
The step types you see depend on the trigger you selected and your account plan. Some step types require a paid plan and will prompt you to upgrade if they are not included in yours.
Available with all triggers:
Send email — Send an automated email. When the trigger includes membership, the email can go to members or managers. When the trigger is contact form only, the email goes to the interested person.
Wait — Set a time interval or date for the next step. You can choose between two modes: wait a number of days, or wait until a specific date and time.
Available with membership triggers only (Becomes a member or submits a contact form, or Becomes a member of this space):
Send direct message — Send an automated direct message to new members.
Add person to a selected space — Automatically add incoming members to a space you choose.
Add new members to all direct open sub spaces — Automatically add incoming members to all direct (first-level) open sub spaces.
Add person to a new space — Create a new space and add the new member to it.
Add people who join any sub space — When someone joins any sub space, automatically add them as a member of this (parent) space as well.
Survey person on join — Survey new members before they can access the space. Only one survey step is allowed per flow.
Set member status to pending — Hold new members in a pending state before they can access the space. Only one pending step is allowed per flow.
Trigger a webhook with member information — Send new member details to an external webhook URL.
Conditional availability
A few step types have additional conditions:
Set member status to pending and Survey person on join can each appear only once in a flow. If one is already present, it will not appear in the dropdown.
Add structure and Add person to a new space may not appear if no structures exist on your account and no "Add person to a new space" step already precedes the current position.
Reorder steps
Drag steps up or down to change the order. Sutra runs each step in the sequence you set.
Edit or remove steps
To edit a step, click the gear icon on the right side of the step row. This opens a settings drawer where you can update the step configuration.
To delete a step, open its settings drawer using the gear icon, then click Delete step at the bottom. You will be asked to confirm before the step is permanently removed.
Adjust the page layout
You can control how the registration page itself is displayed. Open the design toolbar while viewing the registration page and select the Layout chip to open the Page Layout panel.
Sidebar — Toggle the sidebar info panel that shows registration and login options. If you turn the sidebar off, you will need to add your own registration and login action buttons to the page content.
Wide page width — This option only appears when the sidebar is turned off. It makes the page content display wider.
