Add members to sub spaces within your program, remove and manage members, download CSV file
Add members to sub spaces
Once inside your sub space, click on Manage on the top menu and select the General settings tab (or Members tab). Click on the Invite button in the upper right corner.
Here I'm adding members to the General discussion sub space. In the pop up window you will see additional options. You'll be able to Send email, Add existing members or Share link. We recommend using the second option for the sub spaces within a program.
Copy members from space: This enables you to copy all of the members of other sub spaces within your program to this sub space.
Add active members: This will add the members who are a part of the program space.
Add pending members: This will add a pending member to the discussion space. When you add the member, they will move out of pending status into approved.
Some tips for adding people to sub spaces
If your discussion spaces are open, the participants can always see them and join them on their own. However, we recommend adding participants to the important discussion spaces so they are able to post messages and start receiving Sutra digest emails with all the updates of these spaces.
If you have private discussion spaces, you need to add the selected people to them manually.
You don’t have to add participants to the content spaces. We recommend you to simply make these spaces open so that the participants are able to see all the content inside. Sutra digest includes updates from the discussion spaces only. If you would like to let the members of your program know that you published a new piece of content you can do so by using the broadcast email.
Automatically add members to the sub spaces
You can use automation to add members to the sub spaces inside your program. Read more about how to do it here.
This automation feature is available on the Silver and Gold membership plans (see our Membership plans here).
Remove participants
Choose your program space (click on the name of your program), click on Manage on the top menu and select the Members tab.
By clicking on the three dots on the right hand side next to the participant’s name you’ll be able to
How to end regular subscription
If you are running a program with a regular subscription, please, let your participants know that to cancel this subscription and stop regular payments, they will need to leave the space or simply remove them from your side. Only after that they can delete their Sutra account if they want to.
You can also choose to stop charging a member without removing this person. This will cancel their repeating Stripe payments.
Download CSV
You can download a CSV file with the list of your members.
There are several members tabs:
Check the email address and status of the members before you approve them. If the status is Survey - this member still needs to fill in the registration survey.
Important: Invited people get a personalized link that only they can use to register for your program. People in the Invited list haven't registered for Sutra or haven't read your invitation email. You can resend the invitation email by clicking on Resend.
Here’s the example of the invitation email:
If you prefer to send a personalized email, you can copy the individual invitation link for this participant and send it in a private email.
Interested - if you use an Interest form (which can be found in the layouts) on the registration page of your program to collect interest, you'll see a list of interested people with their email addresses here.
Payments - if your program is paid, here you’ll see the list of payments and the dates they were made.
Troubleshooting
A pending member can't access the program — open Manage → Members → Pending and remove or approve them. Approving moves them out of pending status and gives them access. If their status is Survey, they still need to complete the registration survey.
An invited person never received their invitation — people in the Invited list haven't registered or haven't read the email yet. Click the three dots next to their name to Resend the invitation, or copy their personalized link and send it directly.
A member's subscription keeps charging after they leave — to end a regular subscription, the participant must leave the space or you can remove them from your side. You can also stop charging a member without removing them, which cancels their repeating Stripe payments.
What's next
With your participants organized, set up automation to add people to sub spaces automatically, and review your pending status settings to control how new registrants are approved.
