Create one dependable starting point
Begin with a shared welcome or overview that explains how coaching works, how to prepare, and where to find recurring links such as scheduling or session access.
This reduces repeated logistics and lets your live time focus on the client’s work rather than where to find things.
Give each client a private space
Create a separate private space for each client and invite only the people who should have access. Inside it, organize the roadmap, session materials, recordings, reflections, and agreed actions.
For example, use one area for goals and direction, another for session notes, and a weekly page containing preparation, the session resource, and follow-up.
Use interaction to support continuity
Add prompts, surveys, files, messages, or discussion where they help the client prepare and reflect between sessions. Calendar actions can keep recurring calls easy to find.
Keep the structure lighter than the coaching itself. Review access whenever collaborators are added, and avoid placing one client’s material in a shared parent space.
