Sutra offers several focused exports rather than one unlimited database download. Depending on what you are managing, you may be able to export content as a PDF, download participation reports, or export people, contacts, payments, broadcasts, surveys, and API-generated reports.
Before you start
Exports follow the permissions of the feature they come from.
Manager exports can include personal, learning, communication, or financial data. Store and share exported files with care.
Some large exports may take time to generate.
What you can export
Common export areas include:
Space/content PDF: exports supported content from a space into a printable PDF.
Participation reports: exports participation and progress data from the current report or advanced export flow.
People and contacts: exports filtered member/contact records where the people tools allow it.
Payments: exports payment records from the relevant payment management area.
Broadcasts: exports broadcast-related records where available.
Survey results: exports response data from survey/result views.
Developer API exports: creates asynchronous export jobs for supported API workflows.
Not every screen has an export, and each export intentionally includes only the fields Sutra is allowed and designed to expose from that feature.
Export a space as a PDF
Use the PDF export when you want a printable or downloadable version of space content. PDF export is best for static review. Dynamic content, video, files, and interactive elements may become links or simplified representations in the PDF.
Managers may see more content in a PDF than ordinary members because managers can access content that may still be blocked for a member's current progress.
Export participation data
Participation exports use the same reporting logic as the participation analytics grid. If you filtered the report before exporting, the exported data reflects that selected scope.
Advanced exports can include a broader and denser data set, especially in larger or more complex spaces. They may take longer to generate.
Why an export may differ from the screen
Exports are snapshots. They reflect the data and filters at the moment the export is generated. If members keep participating, if a manager changes required content, or if a background rollup finishes later, the next export may look different.
For participation reports, filters affect both the people included and the totals used in summary calculations.
What happens next
After the export is ready, download it and store it somewhere appropriate for the sensitivity of the data. If you are comparing exports over time, note the date, filters, and space scope used for each file.
Troubleshooting
If content is missing from a PDF, check access/progress gates and whether the content type can be represented in a PDF.
If a spreadsheet total differs from the screen, confirm you used the same filters and generated the export at the same scope.
If an advanced export is slow, wait for the current job to finish before starting several more.
If a file fails to generate, try again once; if it keeps failing, capture the export type and space where it happened for support.
If you need every database field, the public exports will not provide that. Sutra exports intentionally omit secrets, internal records, and unrelated data.
