The Report view shows how people are moving through an automation and what happened at each step. Use it to monitor a live workflow, review email engagement, and understand an individual member’s journey.
Before you start
Open an automation report
Open the space where the automation runs.
Go to Manage, then open Automations.
Open the automation you want to review.
Select Report at the top of the automation builder.
The report keeps the same workflow layout as the builder, so you can see where people are in relation to each trigger, action, wait, or condition.
Read the workflow summary
The summary at the top of the report shows:
Entered: people currently tracked for this automation, including people still in the flow and people who have finished or exited.
Currently in flow: people who are running through the workflow or waiting at a step.
Completed: people who reached the end of the workflow.
Exited early: people whose run failed or was cancelled. Hover over this total to see the split between removed and failed runs.
Use these totals to answer operational questions such as whether people are progressing, waiting, completing, or leaving the workflow early.
Follow activity through each step
In the workflow, the number between steps shows how many currently tracked members reached the next step. A badge such as “3 here” shows how many people are currently at that step.
For a condition, the Yes and No branches show the percentage of recorded decisions that followed each path. This can help you see how the workflow is dividing people and whether a branch is being used as expected.
For an email step, the card shows the number sent, the open rate, and the click rate. Use these results to compare engagement across the email messages in your automation.
Review member journeys
Select View all members to open the roster for the automation. You can:
Filter people by In flow, Completed, or Exited.
Search for a member by name.
See each person’s current status and step.
Select a member to review their recorded steps, timestamps, statuses, and any reason shown for an action.
This is the best place to investigate a question about one person, such as whether they entered the automation, where they are waiting, which actions ran, or where their journey stopped.
Understand the report data
Automation reports use the activity recorded while members move through the workflow. They are designed for monitoring current operations and investigating member journeys.
The report is not a permanent all-time ledger. If a member is removed or deleted, their automation tracking record may also be removed, so earlier totals can change. Branch percentages count recorded decisions and may include more than one decision for a member if a condition is evaluated again.
