Use an automated welcome email to send new registrants the information they need right after they sign up. You can include the space link, next steps, reminders, and a short orientation to the experience.
Before you start
You need manager access to edit the registration automation for the space.
Decide whether people should enter immediately or be set to Pending first.
Keep the space link variable in the email if you want people to have a direct path back to the space.
Edit the welcome email
Open the space where people register.
Go to Manage, then open Automations.
Create or open the automation that starts when someone registers or joins.
Add or open a Send email step.
Edit the subject and message body.
Include {{space_link}} wherever you want Sutra to insert the person’s link to the space.
Save the step and activate the automation when it is ready.
If you use Pending status
If the automation sets new registrants to Pending, place the welcome email before or after that step depending on what you want the person to know. For example, send the email first if it explains that their registration is pending review.
If you want the person to wait for approval before entering the space, make sure the email copy matches that flow.
Troubleshooting
The email step is missing. Confirm you are editing the right automation and that your account has access to the Send email action.
The space link is missing or broken. Add the {{space_link}} variable back into the message and save the step again.
Someone did not receive the email. Check that the automation was Active before they registered, then open the automation report to confirm whether the Send email step ran.
