If you run live sessions, you can have Sutra add each new registrant as a guest on a Google Calendar event. The invite comes from your own Google account, exactly as if you had added the person by hand — so it lands in their calendar with your event details, reminders, and video link already attached.
This is an automation step, so you set it up inside an automation rather than in a settings panel.
Connect your Google account
Open your space and go to Manage → Automation.
Create or open an automation. The trigger needs to be Member added, Contact added, or Contact added or member added — those are the ones that can send calendar invites.
Add a step and choose Invite to Google Calendar event.
Click Connect Google Calendar. This opens Google's own sign-in page, where you choose which account to connect and approve access.
Google sends you back to Sutra and the connected address appears with a green tick.
The connection belongs to you as a manager, not to the space. Connect once and you can use it across any space you manage. Use Switch next to the connected address to move to a different Google account.
Choose the calendar and event
Calendar — pick which of your calendars holds the event. Your primary calendar is selected by default.
Event — search your upcoming events by name and pick one. Recurring events are marked with a Repeats badge.
If the event you want doesn't turn up in the search — because it's far in the future, or on a calendar you can't browse — click Paste an event ID instead, paste the ID from Google Calendar, and click Validate.
Once you select an event, Sutra shows a preview with its name, start time, and time zone so you can confirm it's the right one.
Notify or add quietly
Under When a new person registers you choose how the guest is added:
Send a Google invite — Google emails them the invitation, as it would for any guest you add manually.
Add quietly — they're added to the guest list without an email from Google. Use this when your own welcome email already covers the logistics and you don't want two messages.
Click Add this step to save.
Guests can see each other's email addresses
If the event you pick has guest visibility switched on in Google Calendar, Sutra shows a warning — because every registrant will be able to see the email addresses of everyone else on that guest list.
For a small cohort that's often fine. For a public event it usually isn't. To change it, open the event in Google Calendar and turn off "See guest list" under guest permissions, then come back to Sutra.
Troubleshooting
The step asks you to connect again, even though you already did — the previous connection has been revoked, either from your Google account's security settings or by Sutra. Reconnect the same account and pick the calendar and event again.
Another manager set up the step and you can't see their event — connections are personal. Opening someone else's step switches it to your own Google account and clears the calendar and event, so you have to re-pick them. If the event isn't on a calendar you can reach, let the manager who created the step edit it instead.
"Couldn't find that event on this calendar" — the pasted ID belongs to a different calendar, or it was copied with extra characters. Check you've selected the right calendar in the dropdown, then paste the ID again.
A recurring event invites people to the whole series — that's how Google handles guests on a recurring event. If you need people invited to one occurrence only, create a standalone event for that date and point the step at it.
Registrations after the event has passed still trigger the step — the step keeps pointing at the same event until you change it. Update or remove the step once the event is over.
What's next
A common live-event flow is: person registers → invite to the Google Calendar event → send a welcome email with joining instructions → wait → send a reminder the day before. If you want people to add the date themselves instead of being invited, use the Add to calendar button on a page rather than this step.
